Privacy
Qwalify runs booking, reminders and follow-up texts for tattoo artists. This page explains what we collect, why, and what we never do with it.
Who this covers
Artists who sign up for Qwalify, and clients of those artists who text an artist's booking line, fill out a request, booking, consent or waitlist form, or receive texts from an artist through Qwalify. For client information, the artist decides how it is used and Qwalify processes it on the artist's behalf.
What we collect
- Contact details: name, mobile number, email, and date of birth when a form asks for it (to confirm you are old enough to be tattooed).
- Tattoo requests: your idea, placement, size, style, budget, availability and any reference photos you send.
- Appointments: times, prices, deposit status and notes the artist adds.
- Consent forms: your answers to health questions, acknowledgements and your signature. These are shared only with your artist.
- Messages: the texts you send to and receive from the booking line, and delivery status from our texting provider.
- Photos: healed or reference photos you send. A photo is only shown publicly if you reply YES (or tick the box) to allow it, and the artist approves it.
- Consent records: when and how you agreed to receive texts, and any STOP or START you send.
- Technical data: IP address and browser type when you submit a form, used for security and consent records.
How we use it
- To send your request to the artist, book and remind you about appointments, and handle rescheduling and deposits.
- To send follow-ups you agreed to: aftercare, healed-photo requests, next-session offers and, only if you opted in, promotional texts such as openings, flash days and check-ins.
- To show artists their bookings and simple reports.
- To keep the service secure and to meet legal and carrier requirements.
Some incoming texts are sorted automatically (for example, spotting that a message is a reschedule request). This never decides a price and never creates images.
Text messaging and your mobile number
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties, except the service providers that deliver the messages. Who we share it with
We never sell personal information. We share it only with:
- The artist you are booking with.
- Service providers that run Qwalify for us, under contract and only for that purpose: hosting and storage (Cloudflare), text delivery (Twilio), email delivery (Resend), messaging for artists (Telegram), language processing for sorting messages and drafting captions (Groq, Cloudflare), and payments if your artist uses card deposits (Stripe).
- Authorities when the law requires it.
Deposits you pay through an artist's own payment link (for example Venmo, Cash App or Square) are handled by that payment provider, not by Qwalify.
How long we keep it
We keep client information while the artist uses Qwalify. When an artist leaves, we give them an export and delete their clients' data within 30 days, except records we must keep by law (such as opt-out records). Signed consent forms are kept for the artist, who may be required by their state to retain them.
Your choices
- Reply STOP to stop texts. Reply START to rejoin.
- Ask your artist, or email hello@qwalify.org, to see, correct or delete your information.
- Qwalify is not for anyone under 18, and tattoo forms check age.
Security
Data is encrypted in transit. Artist portals use private links, and consent forms and photos are only reachable through unguessable links. No system is perfectly secure; if we learn of a breach affecting you, we will tell your artist and, where required, you.
